General Management
Our office will handle the daily business of the association and implement the general management policy and decisions of the Board and the association. A member of our staff is routinely on property two to three days a week to conduct inspections of the area and to monitor work in all areas. We monitor work of the contract vendors as well as special projects. Other than monthly contracts it is our practice not to pay for work done until we have inspected it.
RPM will ensure the policies, procedures, and standards as established by the association and its Board of Directors are followed. We interact with the Seabrook Island Property Owners Association and, in particular, the Architectural Review Board in order to assist the association in meeting the P.O.A’s rules and regulations as well.
RPM will attend up to 4 Board meetings and the annual meeting of the association. For Board meetings we will prepare the agenda and supporting material and provide it to each Director 2 days prior to the meeting. This packet will include the minutes of the previous meeting, financials information, and information to assist the Board in its decision making for the meeting.
RPM will maintain the records of the association to include minutes of all meetings of the Board and the association, all insurance policies, membership records lists of all members, and other records required by the association.
With the approval of the Board of Directors, RPM will secure the services of vendors to deal with preventative, emergency, and corrective maintenance. RPM will oversee, inspect, and pay these vendors on behalf of the association.
Finally, we send a review form (sample) once a year to the President of the Board. The purpose is to review the performance of both the vendors and the management company and identify those areas that need improvement in the coming year.
